The Chapter Committees...

The committees of a AITP Chapter are the work horses of the chapter. Their success is substantially responsible for the success of the chapter.

The needs of the chapter are broken down into bite sized chunks so that no committee needs to be responsible for "running the chapter." When each committee checks off their task, the chapter excels.

It is not necessary to be a "subject matter expert" to serve on a committee. Just a desire to learn, try some of your own ideas, and take a chance is all that is required. The chapter will not fail if a committee stumbles. The committee and the chapter learn from what works and what does not. As an individual on a committee, you can build marketable skills in this volunteer environment where the risks are small and the sense of satisfaction when you score is great.

Communication between committees, chapter officers, and the membership ensures the success of a committee. Chapter members will readily share their knowledge and fill in with expertise and contacts when such are necessary. Success of a communicating committee is thus ensured.

The Evergreen Chapter has the following "Standing Committees" tasked to perform the functions of the Chapter. Listed with each committee is the current Committee Chair -- your point of contact if you want further information or to participate officially or ad hoc.

Advertising

Chair: Byrum Thom

The Advertising Committee is tasked with promoting advertising in The Random Access and to publicize other chapter functions. The Chapter newsletter -- The Random Access -- is one of the major operating expenses of the chapter and any advertising helps save chapter's resources for other membership activities. This committee is also involved in promoting chapter functions like seminars.

Audit

Chair: Robbin L. Boston, CDP

The Audit Committee coordiates the annual audit of the Chapter's Finanical Reporting procedures.

Awards

Chair: Jillian H. Chapin

The Awards Committee collects information from the membership for the COPA (Chapter Outstanding Performance Award) and IPA (Individual Performance Award) documentation. The COPA categories indicate how well a chapter is doing. Success in each category ensures overall success of the chapter. As an individual contributes to the activities of the chapter, ensuring COPA, they also earn IPA points for themselves. These points amass, the individual earns plaques and pins commemorating their efforts on behalf of the chapter. Bylaws

Chair: David M. Chapin, CSM

The Bylaws Committee is responsible for maintaining the Chapter Bylaws and Standing Rules and managing any proposed changes to these two documents. This committee spends most of its time responding to questions such as "If we want to do xxxx, how is that restricted or affected by our rules?"

Community Service

Chair: Byrum Thom

The Community Service Committee coordinates Chapter activities for service to our community. The major annual event is a standing challenge to the other Chapters in the Region to assist local food banks.

Education

Chair: Douglas E. Northman

It is the task of the Education Committee to present educational programs for which our chapter has become known. Part of the task of these seminars and publications is to earns the necessary funds to publish the newsletter, present plaques to speakers, and in general, operate. It was the Education Committee that produced our quarterly technical publication -- Tech Notes. This publication was suspended with the close of the year 2001 (our seventh year).

History

Chair: Dave Chapin, CSM

It is the task of the History Committee to maintain the archives of the chapter. This efficacious sentence really means providing a dry corner of a garage for the three to four boxes of chapter records and anything else... like an article for the newsletter once in a while is a bonus.

House

Chair: Jillian H. Chapin

The House Committee makes the arrangements for meeting facilities and meals for our dinner programs and staffs the registration table at such events.

Membership

Chair: Robbin L. Boston, CDP

The Membership Committee is in charge of all activities pertaining to the solicitation of new members and the retention of existing members.

Nominating

Chair: David M. Chapin, CSM

The Nominating Committee is in charge the efforts to recruit members to run for offices within the chapter.

Program

Chair: Robbin L. Boston, CDP

The program committee is responsible for following up on program speaker leads and being the liaison between the chapter, the House Committee, the Publications Committee, and the Public Relations Committee to ensure that word gets out to the membership and others interested in this speaker and that the speaker has the tools they need to put on their presentation.

Public Relations

Chair: Paul Byrum, PMP

The Public Relations Committee is responsible for bringing attention to the chapter by news releases, hotel reader boards, etc.

Publication

Chair: Dave Chapin, CSM

The Publication Committee published the chapter newsletter -- The Random Access -- eleven times a year (skipping July). Included are the minutes of the Board of Director's meetings, announcements of chapter events, and details of coming programs.

Roster

Chair: Kim Fischer, CDP

The Roster Committee produces the member's Chapter Roster.

Student Activities, Edmonds Community College

Chair:

It is the duty of the Student Activities Committee to coordinate between the "Parent" Chapter -- us, and the student chapter at the educational institution. The committee arranges for chapter members to speak at student functions and encourages the students to participate in the chapter activities.

Technical

Chair: Dave Chapin, CSM

It is the Technical Committee's job to bring to the attention of the membership developments in the technical arena which will affect us in the performance of our jobs. This is usually accomplished through articles in the newsletter -- The Random Access -- and suggesting topics to the Program Committee for interesting dinner meetings.

Telephone

Chair: Kim Fischer, CDP

The Telephone Committee contacts each member prior to the monthly dinner meeting to take reservations and to solicit comments on how well we're doing, are they getting their newsletter, etc.

Website

Chair: Jillian Chapin

The Website Committee published the chapter website making such updates as necessary to provide a central information repository for the members of the chapter -- What's Happening, Who to Contact, etc.

In the above, you may have noticed that a few of our members hold more than one committee chair. Now, I know these people, and it's not because they want to pig all of the IPA points (you get 6 points to chair and 2 points to be a member of most committees), it's because no one else stepped forward and the job needed to be done. So, I'm very sure that if you show any interest at all, they'll grab you for a committee position and if you want it, you can probably have the "lead dog spot," too.
