Use of addresses and other personal information, physical or electronic, obtained by the Evergreen Chapter falls under the restrictions of Article 13 of the Chapter Standing Rules:

All mailing lists of this Chapter are considered proprietary information and all use other than routine Chapter business requires approval by the Chapter Board of Directors. The lists of Chapter members may, upon approval of the Board, be provided to other AITP Chapters for single-use mailings announcing Chapter sponsored Educational Events. For all other users, upon approval of the Board, the organization (individual) will provide the materials to be distributed and the Chapter will provide the mailing services at a charge to be set during the approval process by the Board. (June 1990).

The Chapter maintains the following lists of addresses:

Membership Datababase

This is a list of members, the membership expiration date, membership number, phone numbers, E-Mail address, and mailing address. This list is used for mailing the Chapter newsletter (See The Random Access), membership surveys, meeting announcements, and other Chapter business. Per Article 13 of the Chapter Standing Rules, we do not release this list to organizations outside AITP. And within AITP, these addresses may be released only to other AITP Chapters wishing to advertise educational events -- meetings, seminars, classes, etc. -- the details of the event must be disclosed to and approved by the Evergreen Chapter before our list is released to the sponsoring Chapter. From this list, we publish an annual Chapter Roster of current Chapter members. Prior to each publication, Chapter members are invited to "Opt Out" -- request that particular personal information such as mailing address, phones, etc. be withheld from the publication.

List of members of sponsored Student Chapter Members, Guests attending Chapter meetings, past speakers, and others expressing interest in the Evergreen Chapter.

These addresses are treated as if there are Chapter members. These names are not included in the annual Chapter Roster, but are used for distribution of The Random Access and electronic announcement of our meetings. Whether or not these names are included in distribution with those of the Chapter members is made on a case-by-case basis by the Chapter Board of Directors.

Electronic Mailing List

This list of members, student members, guests, speakers, etc. for whom we have obtained an E-Mail address. This list is used only to announce details of our coming meetings. Any other use must be approved on a case-by-case basis by the Chapter Board of Directors.

To request that your name be removed from this list, please send a request either to the Chapter's mailing address listed below or electronically to: Robbin L. Boston.
